Prom Schedule and Roles Needed Filled
*Plan to arrive 20 minutes before your shift to check in with the Chaperone Manager. You are welcome to serve more than one shift.
* Plan to attend a mandatory Zoom meeting on either April 26, 4:00 p.m., or April 28, at 7:00 p.m. to help everyone prepare and to have questions answered.
Shift 1: 1:00-3:00 p.m.
- 12:00 - 1:00 pm Unload Trailer, Stage Supplies
- 1:00 - 3:00 pm Set Up inside Prom: Centerpieces, Check In area downstairs, Chaperone Check In area, Coat/Bag Check, Check In area upstairs, Supplies put in various areas, Prizes to prize table, Table Assignments hung in Ballroom, Signs set up in various areas, Snack Bins put in Bridal Suite, etc.
Shift 2: 3:00-5:30 p.m. (until everyone is checked in)
- 3:00 - 5:00 pm Prom Check In (Note time change from 3:30 to 3:00 pm) Dress Code Greeters/Area Managers, People to put on Security Wrist Bands, Chaperone Manager and Assistant in Chaperone Check In area, Coat/Bag Check and Assistants, Check In Area and Line Manager, Photo Booth, Games, Security Inside Prom, Prize Table Person; Extra Surprise for Teens – need extra people to help.
- 5:00 pm Seating for Dinner, 5:15 pm Cindy and Louisa address the Prom Attendees
- 5:30 - 6:45 pm Prom Attendees have Dinner; Most Chaperones & Volunteers will leave for their own Dinner.
- 5:30 - 6:30 pm Move Coat/Bag Check Inside Prom; Some Chaperones remain on site, Security Outside the entrance to the Prom remains all evening
Shift 3: 6:30-1:00 a.m.
- 6:30 pm Chaperones and Volunteers return, Check in with Security outside the entrance to Prom. We need: Chaperones, Security, Coat/Bag Check, Record Keepers, Photo Booth, Games/Social Area, Moving/Packing Centerpieces & Prom Supplies in Bridal Suite, Strong People to move bins of supplies we are finished with downstairs for loading in the truck at the end of the night - We will have carts.
- New Coat/Bag Check team takes over. And after Dinner, the Coat/Bag Check will reopen inside the Prom in the area outside the restrooms.
- 6:45 - 7:30ish pm Chaperones & Volunteers remove our centerpieces as quickly as possible, because JX & Catering Staff will remove extra tables to expand the dance floor. Prize Drawings for Prom Attendees. Extra Surprise for Teens – need even more extra people to help!
- 8:30 pm - 12:00 am Dance
- 10:30 pm Snacks!!! *Strong people to move bins of Snacks out to the tables for the very hungry Prom Attendees!!
- 12:00 - 12:30 am Direct Traffic (We need 3-4 people to stand in specific locations to let people know which way to go, so everyone can clear the area as quickly and safely as possible. It's actually pretty easy to do! We provide safety vests, flashlights, and directions.) ** Arrive at 11:30 p.m., pick up supplies at Security, and leave when the cars are gone. **
- 12:00-1:00 am Clean Up. We must be out of JX by 1:00 am.
Chaperone Expectations
As a MN Homeschool Prom Chaperone Volunteer, I promise to:
- Put the safety of everyone in attendance at the Prom my first priority. As such, I will show up on time, be in my assigned station for my full shift unless someone covers for me, and I will take the job of volunteering at the Prom seriously. I will not leave my station unattended.
- Treat each Prom Attendee with dignity and respect. Remember every person comes from a family that deserves to have their teen treated respectfully, their wishes honored, and their traditions and privacy protected. Ensure confidentiality where it is warranted.
- Make sure every teen in attendance has an amazing time. Keep in mind most of these teens have never been to a dance before, and this is a once in a lifetime experience for them and their friends. I will recognize they feel beautiful and handsome.
- Watch for teens who might be in distress. Watch for teens who might be causing others distress. Be brave and talk to the teens in these situations. Ask for help when I need it.
- Appropriately enforce the Prom Code of Conduct and Dress Code. I will keep in mind these teens are so very happy to attend the Prom that a gentle reminder is usually all it takes to bring them back in line. Do my best to never humiliate the teens while still addressing every situation to the best of my ability – safety first, amazing time second!
- Bring teens who commit infractions to the Record Keeping Table to record the infractions and warnings. But I won't overreact! I will let the teens enjoy their Prom and their friends.
- Never gossip about other people's teens or about other Chaperones. Never take photos of other people's teens.
- Leave when my shift is over if it is during the Prom.
- Protect, preserve, and uplift the reputation of the MN Homeschool Prom through my involvement and assistance.
- Be helpful and make a positive contribution to the Prom, because as a homeschooling community, we all benefit from everyone working together to make the MN Homeschool Prom amazing!
- I recognize that failure to fulfill my role as assigned may result in my dismissal from the Prom and/or prevent me from being able to volunteer or participate in future Proms.
